Getting started

What is FreelanceOS?

FreelanceOS is a business operating system for UK freelancers and sole traders. It brings your clients, tasks, invoices, expenses, documents and calendar into one connected place, with Flo (an AI co-pilot) running through all of it, and a rough tax set-aside based on the records you keep here.

Who is FreelanceOS for?

Self-employed people, freelancers and sole traders in the UK who want to run their whole business from one calm place, instead of juggling spreadsheets, notes apps and separate invoicing tools.

Is FreelanceOS available on mobile?

Yes. There is a native iPhone app on the App Store. The web app is designed for desktop, so on your phone the iPhone app is the best way in. Your account and data are the same everywhere you sign in.

What platforms does FreelanceOS work on?

FreelanceOS is live on iPhone and the web. The notarised Mac app is available to download for Apple silicon and Intel Macs running macOS 14 or later. Your account and data stay connected across every supported platform.

Do I need to download anything to start?

No. You can create an account and start your seven-day trial in the browser, with no install. The native iPhone app is available on the App Store. The notarised Mac app is available to download for Apple silicon and Intel Macs running macOS 14 or later.

How do I sign in?

With your Google account, your Apple ID, or an email and password. Use the same sign-in method across web, Mac and iPhone so you stay in the same account. Apple private relay and Google can use different email identities, so switching methods may create a separate account.

Plans and billing

Is there a free plan?

There is no forever-free plan. A first web subscription includes one seven-day full-access trial per account and Stripe customer. You add a payment method when the trial starts; cancel before the trial ends and you will not be charged. A returning subscriber sees the immediate price in Stripe before confirming.

How much does it cost?

After the seven-day trial, FreelanceOS is £15 a month or £150 a year. Your selected plan renews automatically unless you cancel, and the yearly plan saves £30 compared with paying monthly.

What is included in the trial and subscription?

Everything: unlimited clients, tasks, invoices and documents, recurring invoices, time tracking, a rough tax set-aside from your records, editable invoice previews, downloadable PDFs, and Flo. The same account syncs across iPhone, Mac and web.

If I pay on the web, does it unlock the iPhone and Mac apps too?

Yes. You are paying for your FreelanceOS account, not a single app. Buy once on any platform and it unlocks everywhere you sign in.

I pay through Apple. How do I refresh access on the web?

The latest iPhone app securely links an Apple purchase to the FreelanceOS account signed in there automatically. Sign into the same account on iPhone and use Settings → Sync now, then choose Refresh access in web Settings. A browser can only recheck a purchase already linked to your account because it cannot read StoreKit receipts or safely choose an Apple transaction itself.

Can I cancel anytime?

Yes. You can change or cancel from Settings with no cancellation fee. Cancel before the seven-day trial ends to avoid the first charge; after that, cancellation stops the next renewal.

Tax and Making Tax Digital

Does FreelanceOS help with my tax?

Yes. FreelanceOS keeps your business records together and shows a rough sole-trader tax set-aside based on them. It is an estimate, not a tax calculation or filing service.

Is FreelanceOS Making Tax Digital ready?

FreelanceOS is built for Making Tax Digital for Income Tax. Keeping your records digital and MTD-ready works today. Sending your quarterly updates directly to HMRC from inside the app is being finalised with HMRC and arrives soon.

What is Making Tax Digital?

Making Tax Digital (MTD) is HMRC's programme that requires self-employed people to keep digital records and send quarterly updates using compatible software. It is rolling out by income level over the next few years. FreelanceOS is designed to keep you ready for it.

Getting paid and your bank

Can my clients pay me through FreelanceOS?

Not by card inside FreelanceOS yet. You can create, edit and download invoice PDFs, then send them using your usual email or messaging app. Secure in-app card payments are being prepared for a later release.

Can I connect my bank account?

Today you reconcile transactions by uploading a bank statement (CSV), and FreelanceOS matches them to your invoices and expenses automatically. Direct, read-only open-banking connections through an FCA-regulated provider are on the way.

Flo, your AI co-pilot

What is Flo?

Flo is the AI co-pilot built into FreelanceOS. Unlike a generic chatbot, Flo is grounded in your actual data, your clients, tasks and numbers, so it can answer real questions about your business and help you get things done.

Your data and trust

Is my data safe?

Yes. Your data is encrypted in transit and at rest, isolated per account so no one else can see it, and we never sell or share it for marketing. FreelanceOS is registered with the ICO and built to UK GDPR.

Where is my data stored?

On secure cloud infrastructure (Supabase, running on AWS) in the European Economic Area. Your data stays within the EEA.

Can I export or delete my data?

Always. You can export your records, and delete your account and data whenever you want. Your data is yours.

Who is behind FreelanceOS?

FreelanceOS is built and operated by Maple House Films Ltd, a company registered in England and Wales. It is an independent product made by a working creative, for other self-employed people.
